Cycle Counts are utilized by both the warehouse and the client to reconcile system inventory quantities and physical inventory quantities. The frequency and type of cycle counts depend on the client’s SOP.

JASCI displays the location to cycle count in the system directed cycle count function. The user directed cycle count function allows the operator to select a location to cycle count.

Step 1: Validate location and product

  • The operator selects ‘Cycle Count Directed’ and scans the location JASCI displays to cycle count

    • If an invalid location was scanned the, JASCI will display an error message

  • The operator will scan the product, if a valid location is scanned.

    • If an invalid product was scanned, JASCI will display an error message

  • If location is LPN controlled and/or the product has an inventory controls (lot controlled and/or serial controlled at the inventory level) proceed to Step 2.

  • If location is not LPN controlled and/or the product is not lot controlled and/or serial controlled (at the inventory level) proceed to Step 3.

Step 2: Validate LPN, serial number, and lot information

  • The operator will scan the LPN if the location is LPN-Controlled

    • If the LPN is not valid, JASCI will display an error message and return the operator to scan the LPN

  • If the product has any inventory controls (lot controlled or serial controlled at the inventory level) , JASCI will prompt the user to capture the values

    • The operator scans the serial (if product is serial controlled at the inventory level)

    • The operator scans the Lot (if product is lot controlled)

      • If the lot is not valid, the operator will either be prompted to

        • Scan a valid lot for the product in the location

        • JASCI can create a new lot number based on the entered value

      • The operator enters the expiration date

Step 3: Enter quantity for product

  • The operator counts the physical stock and enters the quantity.

    • If more products are in the location for counting the operator is returned to Step 1 and scans the product.

  • The operator selects ‘Count Done’ if all product(s) in the location have been counted

Once the count is complete, JASCI will either create a ‘Location Check’ or prompt the user to update the inventory and create an 'Inventory Transaction’ based on the operators authority.

  • If any variance(s) are found and the operator does not have authority to update the system a ‘Location Check’ is created by JASCI.

  • If any variance(s) are found and the operator has authority to update the system quantity, JASCI will display the variance and prompt the operator to update the inventory

    • If the inventory is updated, JASCI will create an ‘Inventory Transaction’

    • If the operator chooses not to update the inventory, the user is returned to Step 1 if there are more locations to cycle count

The cycle count process is complete if there are no more locations to cycle count.
